Job Description

We are seeking a highly organized and dedicated Administrative Assistant to join our team. The ideal candidate will play a key role in supporting the day-to-day operations of our office, ensuring smooth communication and efficient workflow. This position offers the opportunity to work closely with our team of speech-language pathologists and make a meaningful difference in the lives of children and families.


Responsibilities

  • Greet and assist clients, families, and visitors in a friendly and professional manner.
  • Handle and coordinate active calendars
  • Schedule and confirm meetings
  • Provide ad hoc support around office as needed
  • Answer phone calls, schedule appointments, and manage appointment reminders.
  • Maintain electronic and paper filing systems, ensuring accuracy and confidentiality of records.
  • Ensure file organization based on office protocol
  • Assist with billing and invoicing processes.
  • Coordinate communication between therapists, clients, and other professionals.
  • Order and maintain office supplies and equipment as needed.
  • Assist with basic administrative tasks such as copying, scanning, and data entry.
  • Support therapists with administrative tasks related to therapy sessions and assessments.
  • Help maintain a clean and organized office environment.
  • Other duties as assigned to support the efficient operation of the office.


Qualifications

  • Bachelor's degree or equivalent experience
  • Prior experience preferred in an administrative role, preferably in a healthcare or therapy setting.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Compassionate attitude and ability to work effectively with children and families.
