Job Description
We are seeking a highly organized and dedicated Administrative Assistant to join our team. The ideal candidate will play a key role in supporting the day-to-day operations of our office, ensuring smooth communication and efficient workflow. This position offers the opportunity to work closely with our team of speech-language pathologists and make a meaningful difference in the lives of children and families.
Responsibilities
- Greet and assist clients, families, and visitors in a friendly and professional manner.
- Handle and coordinate active calendars
- Schedule and confirm meetings
- Provide ad hoc support around office as needed
- Answer phone calls, schedule appointments, and manage appointment reminders.
- Maintain electronic and paper filing systems, ensuring accuracy and confidentiality of records.
- Ensure file organization based on office protocol
- Assist with billing and invoicing processes.
- Coordinate communication between therapists, clients, and other professionals.
- Order and maintain office supplies and equipment as needed.
- Assist with basic administrative tasks such as copying, scanning, and data entry.
- Support therapists with administrative tasks related to therapy sessions and assessments.
- Help maintain a clean and organized office environment.
- Other duties as assigned to support the efficient operation of the office.
Qualifications
- Bachelor's degree or equivalent experience
- Prior experience preferred in an administrative role, preferably in a healthcare or therapy setting.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Compassionate attitude and ability to work effectively with children and families.
